Adding Comments in Power BI

Comments in Power BI allow users to add annotations, explanations, or additional information to reports, dashboards, or specific data points. These comments are valuable for collaboration, sharing insights, and providing context to the data.

Adding Comments in Power BI Service

To add comments in Power BI Service, follow these steps:

  1. Open the Power BI Service website and navigate to the report or dashboard where you want to add comments.
  2. Select the desired data point (if applicable) where you want to attach the comment.
  3. Click on the “Comments” icon, usually represented by a speech bubble or chat bubble, located on the toolbar or context menu.
  4. A comment pane will appear on the right-hand side of the screen. Click on the “Add new comment” button.
  5. Type your comment in the text box provided.
  6. If desired, you can mention specific users to notify them by typing “@” followed by their username.
  7. Click on the “Post” button to publish the comment.

You can also add comments to specific visuals or pages within a report or dashboard by selecting the respective item and following the same steps as mentioned above.

Adding Comments in Power BI Desktop

Comments can also be added within the Power BI Desktop application during the report creation process:

  1. Open Power BI Desktop and open the report you want to add comments to.
  2. Select the visual or data point where you want to add a comment.
  3. On the “Home” ribbon, click on the “Comment” button located in the “Tools” group.
  4. A comment pane will appear on the right-hand side of the screen. Click on the “Add new comment” button.
  5. Type your comment in the text box provided.
  6. If desired, you can mention specific users to notify them by typing “@” followed by their username.
  7. Click on the “Post” button to publish the comment.

Reviewing and Managing Comments

Once comments are added, you can review and manage them in Power BI Service or Power BI Desktop:

  • In Power BI Service, you can view and reply to comments by accessing the comments pane on the right-hand side of the screen. You can also delete comments if needed.
  • In Power BI Desktop, comments can be managed by opening the comment pane by clicking on the “Comment” button as mentioned earlier.

Example:

Let’s say you have a sales report in Power BI and want to add a comment explaining a sudden spike in sales during a specific month.

  1. Open the Power BI Service website and go to the sales report.
  2. Select the visual (e.g., line chart) representing the sales trend.
  3. Click on the “Comments” icon.
  4. In the comment pane, click on “Add new comment.”
  5. Type your comment: “The spike in sales during February can be attributed to a successful marketing campaign targeting a new customer segment.”
  6. You can mention specific users to notify them by typing “@username” if necessary.
  7. Click on the “Post” button to publish the comment.
